Ag/Food Administrative Assistant
Position: Administrative Assistant
Reports To: Executive Assistant
Department: Agriculture/Food Sovereignty

Job Purpose: Assists the Executive Assistant with daily activities of the office and carries out office systems and procedures. Keeps account of incoming invoices, inventory, employee time reports, and other record-keeping. Handles incoming calls, receives visitors, orders supplies, and maintains office environment.

Job Duties:
• Helps maintain calendar of events, sends memos to staff for reminders.
• Helps maintain correspondence, filing systems, food and supply inventory records.
• Assists with participant applications for services, delivery schedules and receiving.
• Files reports and assists with aggregation of recipient services.
• Keeps weekly, monthly, semi-annual participant files updated for reports.
• Handles basic bookkeeping tasks for internal control.
• Handles incoming correspondence for management and production operations.
• Perform other duties as assigned.

Knowledge, Skills and Abilities:
• Excellent computer skills and verbal communications skills.
• Good organizational and multitasking skills.
• Knowledge of privacy and confidentiality expectations.

Work Environment:
• Work is performed in an interior/office environment, outside food production facilities, and area community center areas.

Physical Demands:
• Normal daily routines.

Minimum Qualifications/Requirements:
• High school/GED Diploma and up to two years of experience in business office management preferred.
• High school/GED required.
• Experience in Word, Excel, Access and Power Point, QuickBooks or similar applications.
• Valid Oklahoma driver’s license with ability to meet Seminole Nation liability insurance requirements and maintain eligibility for insurance.
• Must be able to pass background check, with no prior convictions and/or felonies.
• Must be able to comply with the Seminole Nation Drug Free Workplace policies.
