CSS Administrative Assistant
Position: Administrative Assistant
Department: Tribal Child Support Services
Reports to: Director

Description: This position will work with Tribal Child Support Services. The Administrative Assistant is given the responsibility of presenting a good first impression of the Tribal Child Support Program. This person will greet visitors and answer inquiries on the phone and face to face. Position will supply information regarding the organization to the general public, clients and customers. Work is performed under the general direction of the Child Support Director.

Job Duties:
● Answer the telephone, direct caller to destination and record name, time of call, nature of business and person called upon.
● Ensure security measures by verifying the identity of the caller.
● Update information of established clients once identity is verified.
● Provide program information to callers and visitors.
● Greet persons entering office.
● Direct persons to correct destination.
● Answer questions from the public and customers.
● Ensures knowledge of staff movements in and out of organization.
● General administrative and clerical support.
● Prepare letters, memos, correspondence, reports and other program related documents.
● Collects, sorts, and distributes mail and deliveries including keeping post log up to date.
● Schedules appointments when necessary.
● Tidy and maintain the reception area.
● Maintains confidentiality.
● Perform other duties as assigned.

Minimum Qualifications:
Education Minimum: Associates Degree*
Field of Study: Human Services of Social Work
Preferred: Bachelor’s Degree*
Field of Study: Legal Studies, Business, Public Administration of Social Science
Years of experience may be substituted for education.*

Training and Experience
Minimum: One to Two years
Preferred: Two to Five years
Experience working with the public, to include experience in an academic area and/or administrative office.
Valid Oklahoma driver’s license with ability to meet Seminole Nation liability insurance requirements and maintain eligibility for insurance.
Must be able to pass background check, with no prior convictions and/or felonies.
Must be able to comply with the Seminole Nation Drug Free Workplace policies.

Additional Requirements:
● Knowledge of Tribal Child Support Services.
● Knowledge of proper grammar and spelling.
● Knowledge of the regulations on confidentiality.
● Must have a high level of sensitivity to young children, families, and community.
● Professional work ethics, manner and appearance.
● Must have the ability to communicate verbally and in writing.
● Works cooperatively within office, Tribe and other agencies as needed.
● Must be punctual and dependable in regular attendance.
● Must have adequate typing skills.
● Must have professional telephone etiquette.
● Must have the ability to operate general office equipment.
● Must be computer literate.

Working Conditions:
● Work is performed in an office environment using standard office equipment.
● Travel Required 20% of the time.
